What personal data we collect and why we collect it

Comments

When visitors leave comments on the site data is collected as shown in the comments form and to help spam detection the visitor’s IP address and browser user agent string is also collected. This data is held in order to either reply to the comment or enable York Counselling Services to filter spammers. Once a comment has been posted (left) it will not be published until it has been approved by an administrator.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it, this is to help combat spam or malicious links from automated email addresses. Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

This site uses an optional contact form to gather basic personal data for the sole purpose of following up the enquiry submitted and contacting the person to offer the services provided by York Counselling Services.

Cookies

If you leave a comment on this site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If York Counselling Services decide to have a private area accessible via a login page and if you visit the login page, a temporary cookie will be set to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Privacy is taken very seriously at York Counselling Services and no personal data is shared without your explicit consent. However, analytical data eg. how many times the site has been accessed and from which country or which is the most popular browser used to access this website is stored by AwStats ( https://awstats.sourceforge.io/ ) for the use of York Counselling Services to analyse traffic to the site.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

If you use the contact form, this data is held for a minimum of 6 months; you can request for it to be deleted at any time.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service. Comments may also be emailed to an Administrator for approval before the comment is posted. Contact form data is emailed directly to Ann Pinsent of York Counselling Services.

How we protect your data

Any personal data collected from the use of this site (eg. name and contact number/email address) will only be used for the business use of York Counselling Services to be able to contact you for the sole reason of being able to offer a service. Data is never knowingly sold or given to third parties without your explicit consent.

This data is held on a secure computer or locked away in a designated filing system pending contact or the start of a service. This data is held for a minimum of 1 year but can, by request of the client, be removed at anytime.

Industry regulatory disclosure requirements

As part of the GDPR from 25th May 2019 personal data held can only be disclosed either by your explicit consent or when there is a legal requirement to do so.
